1. Why you are receiving this notice
This notice explains why Built Daily Property Acquisitions collects personal information from prospective and current clients, and how that information may be used and disclosed.
2. Information we collect
Your name, contact details and preferred communication details.
Your buyer brief, property goals, budget, preferred suburbs, timeframe and decision makers.
Finance readiness information, including pre-approval status, deposit/source of funds information and broker/lender details where relevant.
Information needed to prepare and manage client appointment documents, service agreements, fee arrangements and related instructions.
Identity, authority or verification information if required for legal, AML/CTF, fraud prevention, insurance or compliance purposes.
Copies, images, extracts or records of identity documents and AML/CTF evidence, including source-of-funds or source-of-wealth information, where this is required for compliance, fraud prevention or risk management.
Notes and records about properties, inspections, offers, negotiations, contracts and settlement steps.
3. Why we collect it
To respond to your enquiry and decide whether we can assist you.
To prepare for and conduct a discovery call.
To understand your buying goals, budget, risk profile and service needs.
To prepare, issue and manage required client documents, including Form 6 appointment/reappointment documents where applicable.
To provide buyer's agency services, including research, shortlisting, property suitability inspections, appraisal support, negotiation support, auction or bidding support and settlement coordination.
To communicate with you and people you authorise us to deal with.
To comply with legal, Queensland real estate, licensing, insurance, AML/CTF, tax, accounting and record-keeping obligations.
4. If you do not provide the information
You do not have to provide personal information. However, if you do not provide information we reasonably need, we may not be able to assess your enquiry, provide services, prepare appointment documents, verify identity where required, communicate with your authorised representatives or continue acting for you.
5. Who we may share it with
People you authorise, such as your spouse/partner, broker, solicitor, conveyancer, accountant or adviser.
Selling agents, inspectors, valuers, insurers, property professionals and service providers involved in a potential purchase.
Technology, email, CRM, e-signature, encrypted document vault, accounting and administration providers we use to operate the business, including secure cloud storage providers used for identity and AML/CTF evidence.
Government, regulatory, law enforcement, AUSTRAC or professional bodies where required or authorised by law.
Our lawyers, accountants, auditors, insurers and compliance advisers.
6. Overseas disclosure
Some technology providers, including encrypted document storage providers, may store or process information outside Australia. This may include storage in jurisdictions such as Switzerland or the European Union depending on the provider used. We aim to use reputable providers and take reasonable steps to manage privacy risk, including access controls and encryption where available.
7. Sensitive identity and AML/CTF evidence
Where we are required to collect or hold identity documents, source-of-funds evidence or other AML/CTF material, we may store that material in a dedicated encrypted document vault such as Proton Drive. Our CRM may record the client name, status, notes and vault location/reference, but it should not be treated as the primary storage location for passports, driver licences, Medicare cards, bank statements or other sensitive identity evidence.
Access to sensitive identity and AML/CTF evidence is restricted to business and compliance purposes, and we take reasonable steps to keep those records secure for as long as they are required for legal, licensing, AML/CTF, insurance, tax, accounting or dispute-resolution purposes.
8. Marketing and updates
We may send service updates or occasional business updates where permitted by law. You can opt out at any time by contacting us or using any unsubscribe or stop option we provide.
9. Access, correction and complaints
